Role Overview
The Project Coordinator provides essential support to project teams, ensuring smooth day-to-day operations and effective delivery of initiatives. This is a hands-on, entry- to mid-level role focused on documentation, reporting, and operational activities that enable project success.
The post holder will work closely with project managers, PMO teams, and stakeholders to maintain accurate records, track progress, and support compliance and governance requirements. They will also contribute to identifying opportunities for process improvements and enhancing operational efficiency across the project lifecycle.
Key Responsibilities
Project Support and Execution
- Assist in preparing and maintaining detailed project documentation, including charters, meeting packs, and closure reports.
- Support the tracking of project deliverables, milestones, and progress against plans.
- Maintain accurate and up-to-date project dashboards and reporting systems.
- Help coordinate project resources to ensure activities are completed on schedule.
Administrative Coordination
Organize and manage project meetings, including scheduling, agenda preparation, and note-taking.Maintain comprehensive records of decisions, actions, and follow-ups.Provide day-to-day administrative support to ensure smooth project operations.Compliance and Governance
Assist in maintaining compliance and audit documentation to meet internal and external regulatory requirements.Ensure accurate version control of all project documents and files.Support adherence to governance processes and standards established by the PMO.Process Improvement
Collaborate with team members to identify areas for operational improvement.Suggest enhancements to project processes, tools, and reporting practices.Participate in post-project reviews to capture lessons learned.Required Qualifications and Experience
3-6 years of experience in project coordination, business analysis, or a related role.Exposure to at least one functional domain area , such as :Customer Experience (CX)Technology / Digital TransformationPensions or InvestmentsCollections or Fraud ManagementMedical or Healthcare ServicesStrategy Development and ExecutionStrong organizational and multitasking skills, with the ability to manage multiple priorities simultaneously.Attention to detail and a commitment to maintaining high-quality documentation.Good verbal and written communication skills to collaborate effectively with diverse teams.Proficiency in MS Office and familiarity with project management tools (e.g., Microsoft Project, Jira, Asana, or similar).Preferred Qualifications
Bachelors degree in Business Administration, Management, Information Technology, or a related field.Knowledge of project management frameworks or certifications, such as CAPM , PRINCE2 Foundation , or Agile Fundamentals .Experience supporting projects in public sector, financial services, or other regulated industries.Core Competencies
