Minimum of 3 to 5 years of proven experience in an executive support role, with a strong track record in managing high-level executives’ schedules and priorities. Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and collaboration tools, with the ability to adapt to new technologies as required. Demonstrated ability to manage confidential information with discretion, maintaining integrity and professionalism. Exceptional verbal and written communication skills, with the ability to represent the executive and organization effectively across internal and external stakeholders. Strong organizational skills with the ability to prioritize competing demands, manage multiple tasks, and meet tight deadlines. Experience coordinating international and domestic travel arrangements, including itinerary planning and budget management. Ability to generate detailed reports and presentations that clearly communicate information and influence decision-making. Experience interacting with high-profile individuals, maintaining a polished and professional demeanor. Job Responsibilities
Provide high-level administrative support to the executive, including calendar management, scheduling, and prioritizing conflicting requests. Serve as a primary point of contact between the executive and internal / external stakeholders, ensuring effective communication and follow-up on outstanding actions. Plan and coordinate meetings, prepare agendas, take minutes, and distribute materials while managing logistical details. Organize travel logistics, prepare detailed itineraries, and ensure travel is executed efficiently. Conduct research and prepare background information for meetings, presentations, and other engagements. Develop and maintain filing systems, databases, and electronic correspondence to enhance data retrieval and information sharing. Assist in the preparation of reports, presentations, and other key documents, ensuring accuracy and professional formatting. Seek ongoing process improvements in administrative tasks and implement solutions to enhance office operations. Required Skills
