The Freight Operations Supervisor is responsible for overseeing import, export, coordination and documentation operations, ensuring that all shipments are delivered on time and within budget. They work closely with customers, carriers, and other stakeholders to prepare and submit paperwork in a timely manner. The role may involve coordinating with customs brokers and other third-party service providers and managing the documentation process related to the shipment of goods. Ensure that all shipping documents are complete, accurate, and compliant with local and international regulations. Review and approve documents such as bills of lading, packing lists, and commercial invoices. Responsibilities
Export
Oversee the export operations of the company, ensuring on-time delivery within budget. Work with customers, carriers, and other stakeholders to prepare and submit required paperwork timely. Ensure documentation is accurate, complete, and compliant with relevant regulations. Monitor shipment status and proactively address issues. Coordinate with customs brokers and third-party providers for timely customs-related paperwork. Develop and maintain relationships with key customers, carriers and stakeholders. Negotiate carrier and service provider rates for competitive pricing and cost-effective delivery. Manage the export team, providing leadership to sustain productivity and performance. Develop and implement processes to streamline export operations and ensure seamless service delivery. Ensure compliance with regulatory requirements including customs regulations and trade laws. Provide support to other departments (e.g., import operations) to ensure service quality. Import
Oversee and manage the import operations department to ensure efficient processes. Manage relationships with customers, carriers, and customs brokers for timely imports. Coordinate with internal departments to ensure smooth communication of import operations. Monitor and train import operations staff as needed. Ensure compliance with regulatory requirements, including customs regulations and trade laws. Review and analyze data related to import operations to identify improvements and cost savings. Coordination and Documentation
Coordinate and facilitate export and ensure on-time, budget-conscious shipments. Coordinate with customers to determine import and freight forwarding requirements and delivery schedules. Ensure documentation is accurate, complete, and compliant with regulations. Monitor shipment status and proactively address issues. Coordinate with customs brokers and third-party providers for customs-related paperwork. Develop relationships with key customers, carriers and stakeholders; negotiate rates for service delivery. Manage pricing for export shipments and provide quotes as needed. Provide excellent customer service with regular shipment status updates. Assist in developing processes to streamline export operations and ensure seamless service delivery. Negotiate with overseas agents to obtain competitive rates and timely shipment handling. Coordinate with carriers and customs brokers for transportation and clearance services. Maintain communication with customers, carriers, brokers and overseas agents throughout the import / export process. Monitor shipments and address issues; ensure compliance with regulatory requirements. Provide exceptional customer service and maintain accurate shipment records and documentation. Prepare and submit documentation (bills of lading, customs declarations, etc.). Coordinate with warehousing and distribution to ensure seamless service delivery. Maintain relationships with customers, carriers, brokers and overseas agents; support sales with pricing analyses. Handle inquiries and resolve issues promptly; conduct customer satisfaction surveys and report findings for improvement. Collaborate with accounting / finance to ensure accurate billing and timely processing of shipping documents. Ensure data accuracy in electronic document systems and maintain hard copies as required. Lead documentation audits to ensure policy, procedure and regulatory compliance. Reports To Be Submitted
Shipment Status Report : overview of export shipment status (date, destination, carrier, current status). Import Operations Performance Report : KPIs such as on-time delivery, transit time, and cost per shipment, with issues and improvement opportunities. Financial Performance Report : revenue, expenses and margins; identify improvement opportunities. Compliance Report : company compliance with applicable regulations and corrective actions. Documentation Status Report : status of import / export documents (submission date, type, status). Customer Satisfaction Report : measure customer satisfaction and identify improvement areas. Exception Report : highlight missing / incomplete documentation or delays requiring attention. Pricing Analysis Report : export shipment rates and comparison to industry standards. Qualifications and Requirements
Experience in freight operations, including export, import, coordination and documentation. Strong knowledge of customs regulations, trade laws and documentation requirements. Leadership experience and ability to manage teams and stakeholder relationships. Excellent communication and problem-solving skills. Ability to negotiate rates and manage cost-effective service delivery. Analytical skills with the ability to analyze data and identify process improvements.
