Freight Operations Supervisor (Cairo, Egypt)

Job Overview : The Freight Operation Supervisor is responsible for overseeing (Import, Export, Coordination’s and Documentation operations) of the company, ensuring that all shipments are delivered on time and within budget. They work closely with customers, carriers, and other stakeholders to ensure that all necessary paperwork is prepared and submitted in a timely manner, and they may also be responsible for coordinating with customs brokers and other third-party service providers and also will manage and oversee the documentation process related to the shipment of goods. Ensure that all shipping documents are complete, accurate, and comply with local and international regulations. You would be responsible for reviewing and approving documents such as bills of lading, packing lists, commercial invoices, etc.

Responsibilities In Export

Oversee the export operations of the company, ensuring that all shipments are delivered on time and within budget.

Work closely with customers, carriers, and other stakeholders to ensure that all necessary paperwork is prepared and submitted in a timely manner.

Ensure that all documentation is accurate, complete, and compliant with all relevant regulations.

Monitor and track shipment status, proactively identifying and addressing any issues that may arise.

Coordinate with customs brokers and other third-party service providers to ensure that all customs-related paperwork is prepared and submitted in a timely manner.

Develop and maintain relationships with key customers, carriers, and other stakeholders.

Negotiate rates with carriers and other service providers to ensure competitive pricing and cost-effective service delivery.

Manage the export team, providing leadership and guidance to ensure high levels of productivity and performance.

Develop and implement processes and procedures to streamline export operations and ensure seamless service delivery to customers.

Ensure compliance with all regulatory requirements, including customs regulations and trade laws.

Provide support to other departments within the company, such as import operations, to ensure seamless service delivery to customers.

Responsibilities In Import

Oversee and manage the import operations department, ensuring that all processes are carried out efficiently and effectively.

Manage relationships with customers, carriers, and customs brokers to ensure timely delivery of import shipments.

Coordinate with internal departments, such as sales and accounting, to ensure smooth communication and coordination of import operations.

Monitor and manage the performance of import operations staff, providing training and support as needed.

Ensure compliance with all regulatory requirements, including customs regulations and trade laws.

Review and analyze data related to import operations, identifying opportunities for process improvement and cost savings.

Responsibilities In Coordination And Documentation

Coordinate and facilitate the export operations of the company, ensuring that all shipments are delivered on time and within budget.

Coordinate with customers to determine import and freight forwarding requirements, including transportation mode, delivery schedule, etc.

Work closely with customers, carriers, and other stakeholders to ensure that all necessary paperwork is prepared and submitted in a timely manner.

Ensure that all documentation is accurate, complete, and compliant with all relevant regulations.

Monitor and track shipment status, proactively identifying and addressing any issues that may arise.

Coordinate with customs brokers and other third-party service providers to ensure that all customs-related paperwork is prepared and submitted in a timely manner.

Develop and maintain relationships with key customers, carriers, and other stakeholders.

Negotiate rates with carriers and other service providers to ensure competitive pricing and cost-effective service delivery.

Manage pricing for export shipments and provide quotes to customers as needed.

Provide excellent customer service to clients, addressing any questions or concerns they may have and providing regular updates on shipment status.

Assist in the development and implementation of processes and procedures to streamline export operations and ensure seamless service delivery to customers.

Ensure compliance with all regulatory requirements, including customs regulations and trade laws.

Negotiate with overseas agents to obtain competitive rates and ensure timely and efficient shipment handling.

Work with carriers and customs brokers to arrange transportation, customs clearance, and other necessary services for shipments.

Manage communication with customers, carriers, customs brokers, and overseas agents throughout the import and freight forwarding process, ensuring timely and accurate updates.

Monitor and track shipments, proactively identifying and addressing any issues that may arise.

Provide exceptional customer service, proactively identifying and addressing customer needs.

Maintain accurate and up-to-date records of all shipments.

Prepare and submit documentation required for import and freight forwarding, including bills of lading, customs declarations, and other paperwork.

Coordinate with other departments within the company, such as warehousing and distribution, to ensure seamless service delivery to customers.

Develop and maintain relationships with key customers, carriers, customs brokers, and overseas agents.

Provide pricing support to sales and marketing teams, including analyzing market trends, assessing costs, and developing pricing strategies.

Handle customer inquiries and resolve any issues or concerns in a timely and professional manner.

Conduct customer satisfaction surveys and provide feedback to management on areas for improvement.

Collaborate with other departments within the company, such as accounting and finance, to ensure accurate billing and invoicing for customers. Ensure accurate and timely processing of shipping documents, including bills of lading, commercial invoices, and packing lists.

Liaise with customers, carriers, and customs brokers to obtain necessary documentation and resolve any issues or discrepancies.

Manage electronic document systems and ensure compliance with company and industry regulations.

Maintain accurate records of all shipping documentation and related communications.

Provide support to other departments, such as customer service and operations, as needed.

In-charge for Documentation of all Freight files.

Coordinating with the team in case of missing documents in files and updating them in the system.

Opening files in the system and closing files.

Receiving documents from customers and agents.

Entering all data accurately into the system.

Maintaining hard copies of files as required.

Handling other miscellaneous operational tasks related to documentation.

Generating ad hoc reports on request, such as reports on specific customers, agents, or ports.

Conducting audits of documentation processes to ensure compliance with company policies and procedures and regulatory requirements.

Shipment Status Report : overview of the status of all export shipments, including date, destination, carrier, and current status (e.g., in transit, delivered).

Import Operations Performance Report : includes KPIs such as on-time delivery rate, average transit time, and cost per shipment; highlights issues and opportunities for improvement.

Financial Performance Report : overview of revenue, expenses, and profit margins; identifies areas for improvement.

Compliance Report : overview of the company’s regulatory compliance related to import and export; includes non-compliance incidents and corrective actions.

Documentation Status Report : status of all import / export documentation, including submission dates and current status.

Customer Satisfaction Report : measures customer satisfaction and identifies improvements.

Exception Report : highlights missing or incomplete documentation, delays, or other issues needing attention.

Pricing Analysis Report : overview of export shipment pricing, including negotiated rates and market comparisons.
