Overview
Oliver Wyman is seeking an Executive Assistant to join our Middle East office as part of the IMEA team. The role is based in Riyadh and provides bilingual (English / Arabic) executive level administrative support to 1-3 Partner level consultants.
Responsibilities
- Business Development : Build relationships with clients and their EAs; understand the business goals of each supported Partner and help push them forward; lead the administrative support of RFPs / tender responses; maintain and update CRM contacts and business activities; track sales activity / pipeline; proactively identify clients to follow up with; execute follow-up calls for client mailings; assist Marketing with customized mailings; prepare letters, proposals and other documents using Oliver Wyman formatting styles.
- Calendaring : Maintain Partner diaries, schedule internal and external meetings, coordinate with clients and infrastructure staff; identify opportunities for additional meetings and arrange complex project scheduling as requested.
- Travel Arrangement : Coordinate travel and accommodation, arrange transport, obtain visas / work permits through mobility and HR; learn Partner travel preferences; optimize travel by grouping meetings where possible.
- Daily Administration : Manage documents and project deliverables as requested; notify staffing and Practice EAs of extensions or renegotiations; handle confidential client information; act as central point of contact for Partner administrative needs and liaise with other support departments.
- Timesheet and Expense Reporting : Prepare monthly timesheets and expense reports; manage PO requests for relevant project teams.
- Team Support : Provide coverage for EAs during absence; support new EAs; participate in team meetings to improve processes and performance.
Qualifications
At least three years’ experience in a similar role.Experience in financial services, management consultancy and / or a professional services environment is a plus.Technical Skills : Advanced Word, PowerPoint, Outlook; comfortable with Excel; knowledge of CRM (Microsoft Dynamics), Google Drive and SharePoint is helpful but not required; English and Arabic proficiency required.Skills and Attributes
