Overview
We are looking for an experienced and dynamic Receptionist Supervisor to lead our front office team. In this pivotal role, you will be the standard-bearer for our company's first impression. You are responsible for ensuring the seamless delivery of all reception and administrative services, mentoring a team of receptionists, and optimizing front desk operations to reflect our commitment to excellence and professionalism. Responsibilities
Supervise, train, and mentor a team of receptionists, fostering a positive and high-performing work environment. Manage front desk schedules, assign daily tasks, and ensure adequate coverage at all times. Conduct regular performance reviews and provide constructive feedback and coaching. Serve as the primary point of escalation for complex client inquiries or issues, resolving them promptly and professionally. Operational Excellence & Process Improvement
Develop, implement, and enforce front office policies, procedures, and service standards. Oversee the maintenance and organization of the reception area, conference rooms, and common spaces. Manage inventory of office supplies, place orders, and build relationships with vendors to ensure cost-effectiveness. Analyze front desk workflows and identify opportunities for improved efficiency and enhanced guest experience. Administrative Oversight & Coordination
Oversee the accurate management of all incoming and outgoing mail, packages, and deliveries. Ensure the phone system is managed effectively, and call handling protocols are consistently followed. Coordinate with IT for the maintenance of front office equipment (printers, phones, etc.). Assist in the planning and execution of company events and meetings as required. Reporting & Compliance
Monitor and report on key front office metrics (e.g., call volume, guest traffic, supply costs). Ensure all security and safety procedures at the front desk are strictly adhered to by the team. Qualifications & Skills
Bachelor’s degree in Business Administration or related field preferred. Minimum of 5 years of experience in a receptionist or front office role, with at least 1-2 years in a supervisory or team lead capacity. Proven leadership skills with the ability to motivate and develop a team. Exceptional interpersonal, verbal, and written communication skills. Proficiency in Microsoft Office Suite and office management software. Strong problem-solving and conflict-resolution abilities. Excellent organizational and time-management skills, with a keen attention to detail. Experience in vendor management and budget tracking. A proactive, resourceful, and professional demeanor.
