JOBPURPOSE

TheExecutive Assistant is responsible for offering comprehensiveassistance and support to the manager including scheduling his / herappointments handling documents and processing correspondenceneeds.

RESPONSIBILITIES

  • Manageand prioritize the managers correspondence including calls emailsand postal communications ensuring timely and efficienthandling.
  • Oversee andprioritize the daytoday operations of the managers professional andpersonal affairs providing highqualitysupport.
  • Balanceconflicting priorities and ensure matters are handled expeditiouslyand proactively. Demonstrate a positive cando attitude followingthrough on tasks and projects to successfulcompletion.
  • Identifyanticipate and prepare information requirements for meetingsappointments and presentations ensuring all relevant details areorganized andready.
  • Maintain anorganized filing system ensuring accurate and accessibledocumentation.
  • Coordinateand manage travel arrangements (e.g. flights hotels rental cars)for the executive ensuring all logistics are aligned withorganizational policies and arewellorganized.
  • Participatein meetings take minutes and follow up on action items incoordination with themanager.
  • Gather analyzeand report information on assigned matters generating reports andpreparing presentations as needed while maintainingconfidentiality.
  • Specificto Executive Assistant to the Country Manager : Manage the StoreValidation Report (SVR) process collecting commercial detailsgathering feedback on sales projections and facilitating approvalfrom the SV and InvestmentCommittees.
  • Specific toExecutive Assistant to the Country Manager : Maintain and update thecountrys real estate database tracking mall maps lease termscompetitors expansions and ensuring timely leaserenewals.
  • Specific toExecutive Assistant to the Managing Director : Organize andcoordinate VIP / Principals visits ensuring smooth execution ofschedules.
  • Specific toExecutive Assistant to the Managing Director : Supervise the BackOffice (BO) support team ensuring proper staffing and performanceby setting clear objectives and evaluating against establishedstandards.
  • Specific toExecutive Assistant to the Managing Director : Manage receptionareas by ensuring they are appropriately staffed andequipped.
  • Specific toExecutive Assistant to the Managing Director : Drive a culture ofexceptional customer service through onthejob coaching / training forthe support team and identifying further training needs incollaboration with talent developmentteam.

Qualifications

LANGUAGE& TECHNICALSKILLS

LanguageProficiency

  • Fluency inEnglish andArabic.
  • Fluency in Frenchis a plus.
  • TechnicalSkills

  • Proficiency in MSOffice.
  • EDUCATION

    Bachelorsdegree in a relatedfield.

    Twoto four years of experience in a similarrole.
