Parsons is looking for an amazingly talented Senior Document Controller to join our team! In this role you will coordinate project document and records management services for all aspects of a project from start‑up to closeout. This includes providing on‑demand request services to the Project Manager, delivery order managers, functional group leads, and staff. Ensures that the document control system is administered and maintained in accordance with Parsons and client procedures.
What You’ll Be Doing
- Provides technical guidance to lower‑level staff in the Document Control department, prioritizes and monitors workload to meet project deadlines, establishes clear standards and goals, delivers training and performance evaluations, and conducts employee counseling and corrective action as needed.
- Resolves non-routine help‑desk issues and inquiries related to document controls (e.g., access issues).
- Provides on‑demand request services to the PM, delivery order managers, functional group leads, and staff. Examples include : (1) preparing labor forecast reports for anticipated document‑control support; (2) creating and formatting customized electronic libraries in SharePoint for collaboration and document management.
- Identifies and coordinates document control resources to support program team members and serves as liaison to client counterparts.
- Administers and maintains mailbox traffic, electronic documentation, incoming record logs, project library, distribution lists, permissions and security groups; backs up daily incoming mailbox traffic; maintains SharePoint libraries and the document‑control website; and performs daily purging / archiving of process mail and help‑desk traffic.
- Performs quality checks by sampling processed incoming traffic and help‑desk inquiries for accuracy and adherence to procedures.
- Provides orientation briefing and materials to new hires.
- Trains and guides document‑control staff and program team members on software tools and resources; delivers informal lunch‑time training sessions on program forms and templates.
- Conducts goal‑plan review meetings with staff.
- Establishes document‑control responsibilities for delivery‑order start‑up, close‑out, and prime contract close‑out.
- Performs other related responsibilities as appropriate.
What Required Skills You’ll Bring
12+ years of related work experience with at least 8+ years in document controls (or an equivalent combination of formal education and experience).Membership and / or certification in EMC (Enterprise Content Management) and / or ARMA (American Records Management Association) is preferred.Knowledge of document‑control work processes and utilization of electronic systems for document management, including corporate procedures.Ability to lead, excellent written and oral communication, and thorough knowledge of industry practices, company policies, and procedures.Proficient in database concepts and project‑related software, with the ability to train others.Parsons equally employs representation at all job levels no matter the race, color, religion, sex (including pregnancy), national origin, age, disability or genetic information.
