Job description

Job Summary We are seeking a proactive, organized, and detail-oriented Virtual Assistant to support day-to-day administrative functions. You will ensure smooth operations by handling various tasks enabling our team to maintain efficiency and focus on key objectives.

Key Responsibilities

Act as the first point of contact, managing emails, calls, and scheduling

Maintain calendars, schedule appointments, and coordinate meetings

Prepare and edit documents, presentations, and spreadsheets

Assist with travel bookings, logistics, and expense report compilation

Perform accurate data entry and maintain organized digital filing systems

Handle customer inquiries and follow-ups via email or chat

Support team members with ad-hoc administrative and operational tasks

Conduct internet research and gather information as required

Handle confidential data with discretion and secure document management

Required Qualifications

Proven experience as a Virtual Assistant or in administrative support roles

Excellent communication skills, both written and verbal

Strong organization and time-management abilities

Proficiency in Microsoft Office Suite and / or Google Workspace (Docs, Sheets, Drive)

Comfortable navigating calendar apps, video conferencing, and cloud tools

Ability to work independently and meet deadlines in a remote setting

Reliable internet connection and structured workspace

Preferred Qualifications

Certificate or degree in Business Administration, Communications, or a related field

Familiarity with CRM platforms (e.g., HubSpot), project management tools (e.g., Trello, Asana), or helpdesk systems

Basic knowledge of bookkeeping tools (e.g., QuickBooks, Xero) is a plus

Customer-focused mindset with strong attention to detail
