Help AG is looking for a talented and experienced Office Manager & Government Relations Coordinator who will play a key role in the office, ensuring a smooth, efficient, and professional work environment while critically managing all necessary interactions with Saudi government entities. This role is responsible for ensuring the company remains in full compliance with all local laws and regulations in addition to overseeing operations of the Saudi Office, taking care of customer visits and supporting the team with accurate and efficient administrative support. A positive, friendly personality that brings own ideas and proactive ownership, maintaining an enjoyable, presentable, and professional workplace, is essential. The position will also support various other departments within different duties and administrative aspects.

Responsibilities

  • Government Relations & Compliance

Act as the primary point of contact and official representative for all government-related matters with entities such as the Ministry of Investment (MISA), Ministry of Commerce (MOC), Chamber of Commerce, GOSI, Muqeem, and various Saudi ministries.

  • Manage the end-to-end process for the company's registration, business license renewals, and securing all operational government certificates and permits required for the business to legally operate in the Kingdom.
  • Maintain, organize, and ensure the timely renewal of all official company documents, licenses, permits, and governmental certificates.
  • Coordinate closely with relevant authorities (e.g., Ministry of Human Resources and Social Development) to process residency (Iqama), work visa applications, renewals, and cancellations for all employees, and manage exit / re-entry visas as required.
  • Monitor changes in Saudi labor laws, commercial regulations, and government policies to proactively advise management and ensure the company's immediate compliance.
  • Office Administration
  • Maintain a clean and presentable office environment.

  • Keep control of supplies, stationery and equipment for office and replenish in time.
  • Coordinate improvements and repairs as required by coordinating internal and external teams.
  • Always ensure fully functional equipment by completing preventive maintenance requirements; calling for repairs; coordinating with internal teams.
  • Oversee corporate contracts with service providers including maintenance, catering, etc. review / negotiation / renewal.
  • Managing the office boy and cleaner ensuring their tasks are executed efficiently.
  • Supporting / arranging for any events / festivities in the office.
  • Visitor Management
  • Take ownership of vendor visits from A-Z and ensure a smooth experience from arrival till departure; coordinate with internal and external parties as required.

  • Greets and guides visitors to our office.
  • Ensure presentability of office, facilities, and team.
  • Personally receive and guide visitors providing a positive and memorable experience.
  • Remain available and attentive throughout the entire visit.
  • Administrative Support
  • Document processing and coordination for document completion, signature, filing as per the processes.

  • Ensure compliance with documents and communication with the highest standards in appearance and content.
  • Research information as required and draft correspondence; create reports.
  • Arrange for employee office supplies, business cards, mobile phones as required.
  • Qualifications and Skills

  • Must be a Saudi national mandatory.
  • 5+ years of experience in office management and in Saudi government relations.
  • Proven ability to manage digital government platforms.
  • Excellent interpersonal and communication skills.
  • Fluent in Arabic (written and spoken) is mandatory and English fluency is required.
  • Solid skills in Microsoft Office.
  • Reliability and strict confidentiality.
