The Receptionist is the first point of contact for all visitors and callers, playing a key role in creating a welcoming and professional environment. This role is responsible for handling front-desk operations, managing phone calls, greeting guests, supporting administrative tasks, and ensuring smooth day-to-day office interactions.

Key Responsibilities

  • Front Desk Operations
  • Greet and welcome visitors with professionalism and warmth.
  • Direct guests to the appropriate staff or meeting rooms.
  • Maintain a clean, organized, and presentable reception area at all times.
  • Call Management
  • Answer, screen, and forward incoming calls efficiently.
  • Take accurate messages and ensure timely delivery to the appropriate recipients.
  • Handle basic inquiries and provide information about the company when needed.
  • Administrative Support
  • Manage incoming and outgoing mail, courier deliveries, and official correspondence.
  • Assist with booking meeting rooms, coordinating schedules, and maintaining calendars.
  • Support HR, Admin, or Executive teams with data entry, filing, and document handling.
  • Maintain inventory of front-office supplies and reorder as needed.
  • Office Coordination
  • Liaise with building security, maintenance teams, or service providers when required.
  • Maintain visitor logs and issue guest badges when needed.
  • Ensure confidentiality and discretion when handling sensitive information.

Qualifications

  • High school diploma or diploma in Business Administration, Office Management, or related field.
  • 1–3 years of experience in a front office, receptionist, or administrative support role.
  • Strong verbal and written communication skills in Arabic and English.
  • Professional appearance and positive attitude.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Ability to multitask, prioritize, and remain calm under pressure.
