We are seeking an exceptionally bright, friendly, customer-obsessed, and self-motivated Executive Assistant to support the Operations Director. The successful candidate will be proactive in getting things done and able to suggest and implement ways to improve processes for long-term success. The right candidate will be customer-service oriented, have strong attention to detail and quality while meeting tight deadlines, have excellent organizational skills, and a passion for creating a highly engaged culture for teams. A high level of integrity and discretion in handling confidential information, professionalism in dealing with senior professionals inside and outside the company, and a positive attitude are important. The role also requires on-site work at IST2 Fulfillment Center for a standard five-day workweek schedule. Key responsibilities
Work in partnership with senior leaders, functional business partners, and other Executive Assistants to provide seamless support to the organization. Proactively manage executive calendars with accuracy and attention to detail, allocating time to promote productivity and re-prioritize as appropriate. Understand business priorities and identify process improvements to create efficiency and scale for the leadership team. Track and help drive completion of key deliverables and follow up on outstanding items. Ideate, organize and manage meetings, off-sites, team-based engagement and social events. Coordinate domestic and international travel in compliance with existing policies and procedures, ensuring effective use of time and resources. Support annual operational planning process, business planning and performance review cycles. Maintain a positive work environment and help others enjoy their work. Communicate effectively in English both verbally and in writing with internal and external stakeholders. Basic Qualifications
3+ years of senior level leadership support, or 1+ years of Amazon experience. University diploma (high school to be assessed). Experience with Microsoft Office products and applications. Experience with executive level calendar management. Fluent in English, both written and verbal communication. Preferred Qualifications
Experience in a fast-paced, high-tech company. Experience managing multiple calendars. Exceptional attention to detail, strong organizational and communication skills, team-oriented philosophy, and problem-solving abilities. Operations / Logistics sector knowledge is an asset.
