Job Title - Procurement Assistant
Job Objective
To provide effective day-to-day support to the Procurement Lead in managing fabrication-related purchasing activities, supplier coordination, and procurement documentation. The Procurement Assistant ensures timely, cost-effective, and compliant sourcing of materials and services while maintaining alignment with company policies, quality standards, and operational needs.
Key Responsibilities
Procurement Operations
Communicate with suppliers to obtain quotations, negotiate pricing, and follow up on order status.
Prepare purchase orders and ensure all documentation is accurate, complete, and in compliance with company policies.
Track purchase orders to ensure timely delivery and resolve issues related to delays, shortages, or discrepancies.
Maintain up-to-date procurement records, including supplier information, purchase orders, and delivery details.
Coordinate with the warehouse and store teams to confirm material receipt and ensure accurate inventory updates.
Support the Procurement Executive and Lead in daily operations, reports, and special procurement projects.
Supplier Relationship Management
Maintain and develop positive relationships with suppliers, ensuring adherence to company standards and ethical practices.
Liaise with intercompany representatives and external vendors to ensure clear communication and smooth operations.
Assist in evaluating supplier performance, identifying improvement areas, and sourcing new vendors where necessary.
Inventory & Cost Management
Monitor inventory levels to ensure optimal stock availability without overstocking.
Assist in identifying opportunities for cost savings, efficiency, and process improvement.
Support data analysis related to procurement spending and vendor performance.
Coordination & Compliance
Collaborate with internal departments such as production planning, logistics, accounts, and workshop teams to align procurement with operational requirements.
Follow up with the accounts team to ensure timely supplier payments.
Ensure all procurement activities comply with legal, regulatory, and company requirements.
Uphold high ethical standards in line with company policies and maintain data integrity in all transactions.
Reporting & Documentation
Prepare and maintain regular reports on procurement activities, order status, and expenditure.
Support audits and compliance reviews with accurate and updated procurement documentation.
Compliance & Integrity
Promote and adhere to the organizations core values of honesty, integrity, and compliance.
Follow the Group Product Compliance Policy and Code of Conduct to ensure ethical operations.
Understand and apply the Speak Out section of the Code of Conduct, fostering a transparent and responsible work environment.
Participate in company training sessions related to compliance and procurement best practices.
Skills & Competencies
Technical & Functional Skills :
Strong understanding of procurement and supply chain processes
Proficiency in Microsoft Excel and procurement software / ERP systems
Excellent organizational and documentation skills
Analytical and data-driven decision-making abilities
Basic technical understanding of materials, plant, and processes

Preferred Experience & Qualifications
Bachelors Degree or Diploma in Supply Chain Management, Business Administration, or related field.
12 years of experience in procurement, purchasing, or supply chain operationspreferably in the construction, manufacturing, or building materials industry.
Familiarity with ERP systems and vendor management tools.
Proven ability to handle supplier communication and order tracking efficiently.
