Human Resources Administrative Specialist

Specialist to join our team in Riyadh. This role is pivotal in supporting the daily operations of the HR & Administration department, ensuring a seamless employee experience and full compliance with company policies and Saudi labor regulations. Job Responsibilities Lead end-to-end recruitment, onboarding, and contract management through Qiwa. Coordinate with department heads to fulfill staffing needs across KSA. Manage GOSI registration, iqama renewals, and sponsorship transfers. Conduct onboarding sessions and probation evaluations. Administer resignations, terminations, and end-of-service settlements. Draft job descriptions, offer letters, warning letters, and investigation reports. Maintain organized filing systems (digital and physical) and support internal communication flow. Oversee office supplies, travel arrangements, and vendor coordination. Manage uniform distribution across KSA regions, including vendor selection and invoice tracking. Legal Compliance & Investigations Conduct formal investigations and issue disciplinary actions in line with Saudi labor law. Liaise with legal advisors and government portals (Qiwa, Muqeem, Absher, Labor Office). Ensure all actions are legally documented and supported by signed records. Monitor attendance across all KSA regions and validate payroll inputs. Manage leave records, overtime claims, and deductions in compliance with labor regulations. Coordinate salary disbursement and ensure all staff have active bank accounts. Reporting & Culture Prepare monthly HR reports and conduct internal audits of HR files and procedures. Foster a positive work environment and support employee engagement initiatives. Act as a point of contact for grievances and conflict resolution. Candidate's Profile Bachelor’s degree in HR, Business Administration, or related field. 4–6 years of HR & Admin experience in KSA preferable in retail industry. Strong command of Arabic and English (spoken & written). Proficiency in Qiwa, Muqeem, Absher, and HRMS platforms. In-depth knowledge of Saudi labor law and related legal documentation. Strong organizational and administrative capabilities. Ability to work independently and handle confidential information with discretion.
