Invoicing New & Pre-owned Cars. Ensure that all requirements and official documents are available at the time of invoicing (e.g., receiving full payment, approval of discount limit and Banks P.O.).
Responsible for cars’ registration and third party insurance, including the reconciliation of registration fees and insurance liability accounts.
Conduct monthly physical stock counts for warehouse & demo cars and send the soft copy and signed hard copy report to Head Office.
Control the Petty Cash Fund. An amount of SAR 30,000 should be managed carefully by following petty cash policies. All expenses from petty cash are reported and replenishment requests are submitted weekly.
Daily reconciliation of Bank POS transactions and ensure all transactions are recorded in SAP; report any unrecorded transactions to Head Office.
Prepare the Daily Report for all transactions made in SAP Cash Desk.
Clear customer accounts. Do this for cash customers right after invoicing. Send all original documents for credit customers to Head Office. Record all credit customer deals in an Excel sheet for monitoring branch receivables.
Review customer refunds and ensure all required documents are attached to the refund request.
Control a few supplier accounts. Credit suppliers who cannot be paid from petty cash (e.g., gardening and car detailing).
Record the service package contract and the 4th year warranty in the accruals accounts.
Prepare Debit / Credit Notes for Juffali affiliated Companies.
Maintain price tags. No price tag should be released without full customer payment; record all received price tags in the controlling file for quick checks.
Make manual entries for cases such as recording registration fees against COS accounts and receiving customer shares for demo car accidents.
Prepare VAT reports on a monthly basis.
Upon invoicing all branch cars (new and pre-owned) for a given month, copy all car invoices and send them to Head Office Archive along with all supporting documents.
Withdraw cash as petty cash is transferred to the accountant’s personal account at the bank.
Collect cash from customers : cash, cheque and POS.
Email Head Office to obtain payment confirmation.
Fill out the bank deposit form for each payment to be deposited into the company’s bank accounts.
Issue cash receipts upon receiving confirmation.
Zero out cash in (Vi Sales) from the Cash Desk on a daily basis.
Perform any other duties as requested by the direct manager.
