Receive, register, categorize and file all incoming and outgoing technical documents, drawings, contracts, and correspondence related to marine projects and vessel operations
Maintain document control systems (both electronic and physical), ensuring documents are up-to-date, easily accessible, and securely stored
Distribute controlled documents to relevant departments, ship crews, contractors, and clients as per project requirements
Ensure all documentation complies with company policies, maritime regulations, classification society standards, and client requirements
Track document revisions and updates, maintaining version control and audit trails
Support the project and technical teams by providing timely and accurate documentation during vessel maintenance, dry dockings, and repairs
Coordinate with suppliers, subcontractors, and clients for document submissions and approvals
Generate and maintain reports related to document status, outstanding actions, and compliance
Requirements
Good understanding of marine industry documentation standards and regulatory requirements.
Strong attention to detail and organizational skills
Proficient with document management software (e.g., SharePoint, MS Office).
Excellent communication and interpersonal skills
Ability to manage multiple tasks and prioritize work in a fast-paced environment
High level of integrity and confidentiality in handling sensitive documents
Proactive and solution-oriented approach
Ability to work independently and as part of a team
Basic knowledge of maritime operations and terminology is a plus
