The Sr. Document Controller at Al Bawani Construction Company is responsible for managing and organizing project documents, ensuring accuracy, completeness, and compliance with company and industry standards. This role involves setting up and maintaining document control systems, coordinating with project teams, and ensuring all documentation is properly filed, archived, and easily accessible. Sr. Document Controller plays a critical role in supporting project delivery and maintaining the integrity of the company’s document management processes.
Job Accountabilities
Manage the receipt, review, classification, and distribution of all project and corporate documents in accordance with company policies and project procedures.
Ensure all documents are accurately recorded, version-controlled, and traceable through the document control system.
Maintain and update document management systems (DMS) or electronic document management systems (EDMS) to ensure timely retrieval of information.
Verify that all documentation complies with company standards, client requirements, and quality management systems.
Coordinate with project teams, contractors, and external stakeholders to manage document submissions, approvals, and revisions.
Prepare and submit regular reports on document status, pending approvals, and revisions for management review.
Oversee the secure archiving of documents (hard and soft copies) and ensure easy retrieval when required.
Guide and support project teams in using document management systems effectively and maintaining proper documentation practices.
Ensure confidentiality and controlled access to sensitive or restricted documents.
Recommend process improvements for document control and contribute to enhancing efficiency within the department.
Job Requirements
Minimum of 7-10 years of experience in document control or a related field, preferably in the construction or engineering industry.
In-depth knowledge of ISO standards (e.g., ISO 9001) and regulatory requirements related to document control.
Experience in managing project documentation for large-scale construction or engineering projects.
Experience in mentoring and training junior document controllers and team members.
Experience working with Electronic Document Management Systems (EDMS) (e.g., Aconex, ASITE, Procore, or similar platforms).
Bachelor’s degree in information technology, Computer Science, Engineering, or a related field.
Certification in Document Management Systems (e.g., CDMP or equivalent) is preferred.
Certification in project management (e.g., PMP, PRINCE2) is a plus.
