Responsibilities

  • Provides quality control of internal and external documents, reviews documents for accuracy and adherence with World Bank guidelines and procedures.
  • Assists in drafting, editing, formatting, and production of documents and correspondence.
  • Coordinates schedules, monitors changes, and communicates information to staff inside and outside the immediate work unit, including officials outside the bank.
  • Solves non-routine problems and responds to requests requiring research to address the query at hand.
  • Provides assistance at various levels in organizing meetings, conference calls, video conferences, workshops, conferences; handles administrative and logistical arrangements, prepares and assembles meeting materials, sends invitations, and follows up. Builds a database of participants and drafts event reports.
  • Coordinates travel requests for consultants if necessary and assists with coordination of mission agendas as needed.
  • Maintains current distribution lists and phone / addresses lists of project / product contacts and distributes documents for relevant task teams.
  • Maintains up-to-date work unit project and other files (paper and electronic).
  • Manages logistics requests for visiting missions and handles bookings for business travels, including arranging visas.
  • Collaborates with other team members and contributes productively to the team’s work, fully involving others in the work of the team.
  • Generates reports as needed and assists with administrative and operational matters in the department; acts as back-up for colleagues when needed.

Selection Criteria

Education / Experience

  • Minimum education : Bachelor’s degree
  • Minimum of 2-5 years of relevant experience
  • Required Competencies

  • Technology and systems knowledge – Advanced knowledge of Microsoft Office applications (Excel, PowerPoint, Word, etc.).
  • Project and task management - Strong organizational, problem-solving, analytical skills; ability to manage multiple tasks with attention to detail and quality; ability to work with minimal supervision.
  • Institutional policies, processes, and procedures - Knowledge of department programs and WB policies relevant to responsibilities; ability to apply them.
  • Versatility and adaptability - Flexible, open to new solutions, willing to adapt to change.

  • Learning, knowledge sharing and communication - Clear writing, editing, and proofreading; ability to share knowledge across the unit.
