A Material Specialist is responsible for overseeing the flow of materials within an organization, ensuring that inventory levels support production, maintenance, or operational needs. This role focuses on procurement, storage, distribution, and accurate documentation of materials while maintaining compliance with internal policies and safety standards.
Key Responsibilities
Monitor, track, and maintain optimal inventory levels to avoid shortages or overstock.
Conduct regular cycle counts, audits, and physical inventory reconciliations.Update inventory records in ERP or inventory management systems.Procurement & Material PlanningCoordinate with suppliers to source materials, request quotes, and place purchase orders.
Review material forecasts and production schedules to anticipate procurement needs.Follow up on purchase orders to ensure on‑time delivery.Coordinate between design, fit‑out and procurement to ensure required samples and specifications were provided, aligned, properly documented, and matched to the physical samples.Receiving & InspectionReceive inbound materials, verify quantities, and inspect for quality and compliance.
Document discrepancies and coordinate returns or replacements with vendors.Ensure materials are labeled and stored according to specifications.Material Distribution & LogisticsAllocate and issue materials to production teams, technicians, or field operations.
Coordinate material transfers between departments or facilities.Support shipping activities by preparing materials for outbound delivery.Documentation & ReportingMaintain accurate records of inventory transactions, receipts, and usage.
Prepare inventory reports, usage analysis, and cost‑tracking documents.Ensure compliance with company policies, safety guidelines, and audit requirements.Process ImprovementIdentify opportunities to streamline inventory processes and reduce material waste.
Participate in systems enhancements related to supply chain and inventory workflows.Support implementation of new equipment, software, or storage solutions.Qualifications & Skills
Education & Experience
High school diploma or equivalent required, associate or bachelor’s degree in supply chain, Logistics, or related field preferred.Experience in inventory control, warehouse operations, or materials management.Familiarity with ERP systems (SAP, Oracle, NetSuite, etc.).Technical Skills
Strong understanding of inventory management principles.Proficiency in Excel or inventory software.Ability to read technical documents, bills of materials (BOMs), or engineering drawings (optional depending on industry).Soft Skills
Strong attention to detail and organizational skills.Effective communication and teamwork capabilities.Ability to troubleshoot issues and make data‑driven decisions.Physical ability to lift and move materials as required (depending on role).The role may be performed in :
