Job Description
Overview
The Document Controller is responsible for establishing and managing efficient systems for processing all project-related documentation, including contractor communications, design and construction documents, and other internal or external records. This role ensures accurate tracking, organization, and distribution of documents throughout the project lifecycle.
Your role
- Plans, organizes, and implements systems for efficient document processing of all communications, the Contractor documents, design documents, construction documents or other internal or external documents.
- Establish and maintain listing of all project documents with proper updating. Duties involve preparation / proof-read of key documents, identifies, and segregates all documents according to project numbering system files in project EDMS.
- Coordinates the flow of documents between project team and other project stakeholders.
- Prepare the status reports of the incoming and outgoing documents on weekly and monthly basis.
- Supports the receipt, tracking, and monitoring of documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.
- Verifies the accuracy of incoming and outgoing documents in accordance with document control procedures / process.
- Ensure that hard copy of documents / drawings at site (as required) are maintained and updated.
- Performs archival of site incoming and outgoing documentation (administrative) during project close-out.
- Performs other responsibilities associated with this position as may be appropriate.
About you
Degree or Diploma in Office Administration or equivalent.At least 3 to 4 years of relevant work experience.Conversant in using an electronic document management system.Experience with Aconex would be an advantage.Preferably, with at least 2 years relevant experience in Saudi Arabia.Excellent written and oral communication skills.Rewards & benefits
