Job description

We are seeking an experienced Administrative Coordinator to join our dynamic team within the Business Consultancy Services sector in the Eastern Province of Saudi Arabia. The ideal candidate will play a critical role in ensuring the smooth operation of our administrative functions, contributing to the overall efficiency and effectiveness of our business operations. This position requires a proactive individual who thrives in a fast‑paced environment and is committed to delivering exceptional support to our team and clients.

Responsibilities

Manage and coordinate daily administrative activities, including scheduling meetings, managing calendars, and organizing travel arrangements for team members.

Serve as the primary point of contact for internal and external communications, ensuring that all inquiries are handled promptly and professionally.

Assist in the preparation and distribution of reports, presentations, and other documents, ensuring accuracy and adherence to company standards.

Maintain organized filing systems, both physical and digital, to ensure easy access to important documents and information.

Support the financial department by processing invoices, tracking expenses, and assisting with budget preparation and monitoring.

Coordinate office supply inventory, placing orders as necessary to ensure that all departments have the resources they need to operate effectively.

Facilitate onboarding processes for new employees, including orientation and training sessions, to help them acclimate to the company culture.

Implement and maintain office policies and procedures to enhance operational efficiency and compliance with company standards.

Follow up on team project deliverables to ensure timelines are met and quality standards are upheld.

Contribute to special projects and initiatives as assigned by management, demonstrating flexibility and a willingness to take on new challenges.

Preferred Candidate

Proven experience in an administrative role within a corporate environment, preferably in business consultancy or related fields.

Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively under pressure.

Strong communication skills, both verbal and written, with a focus on professionalism and clarity.

Proficiency in Microsoft Office Suite and other relevant software, with a strong understanding of how to leverage AI services for efficiency.

Detail-oriented mindset with a commitment to accuracy and quality in all work produced.

Ability to work independently as well as collaboratively within a team, demonstrating a positive attitude and strong interpersonal skills.
