- Precast concrete products and architectural elements To manage and organize a company's documents, ensuring that they are stored, accessed, and processed efficiently and accurately, maintaining document control systems, managing document distribution, and ensuring that documents comply with company policies and ISO 9001 standard. Must be an expert on Aconex System. Key Accountability Areas
- Skills : Good working knowledge of Office software (Excel, Word, Power Point, Outlook), a good level of computer literacy, and knowledge of ISO 9001 standards and regulatory requirements.
- Version Control : Input document data into standards registers, ensuring information is accurate and up to date, and monitor log status.
- Confidentiality and Security : Maintain confidentiality and data security measures for sensitive documents, including implementing access controls and encryption where necessary.
- Document Retrieval and Archiving : Facilitate document retrieval, maintain organized archives, and implement retention schedules to ensure compliance.
- Compliance and Audit : Perform regular audits of document control processes to ensure compliance with ISO standards and regulatory requirements.
- Aconex Expert : Must have practical experience with the Aconex System. Role Accountability
- Document Management : Establish and maintain efficient document control procedures, ensuring all incoming and outgoing documents bear the company stamp.
- Document Tracking : Track the flow of documents throughout their lifecycle, including creation, review, approval, distribution, and archiving.
- Document Control Systems : Implement and maintain document control systems, such as DMS or electronic document control systems, to facilitate tracking, version control, and access permissions.
- Communication : Ability to work independently and collaboratively in a fast-paced environment; convey complex information clearly and concisely in documentation and interactions.
- Distribution : Ensure drawings with stamps are distributed to relevant parties internally and externally, maintaining confidentiality and security.
- Recordkeeping : Maintain accurate records of document transactions, including log status, changes, and approvals.
- Compliance : Ensure documents adhere to regulatory requirements, standards, and organizational policies.
- Review Process : Coordinate review and approval processes, routing documents to stakeholders for feedback and approval. Academic Qualification
Bachelor Degree in Administration or related field.
