Roles & Responsibilities
- Coordinate with Ministry of Foreign Affairs, Ministry of Interior, The KSA Police, and other government agencies to facilitate services and protocols for WBG staff traveling to KSA on mission or relocating to Riyadh.
- Serve as the relocation focal point for the growing regional office in Riyadh; develop trusted working relationships with technical counterparts at key ministries to facilitate issuance of travel and immigration documents.
- Process visa requests for visiting missions, relocating staff and families.
- Manage office logistics, moves and transitions, and recommend system improvements.
- Facilitate settling in (driver’s licenses, opening bank accounts) and coordinate with the regional relocation team for additional support.
- Handle logistics for high-level visits and missions, including airport protocols; coordinate with Program Manager and Senior Program Assistant for visits and missions to Riyadh.
- Train colleagues as backups for protocol tasks and support team collaboration.
- Provide quality control of internal and external documents; review documents for accuracy and adherence to World Bank guidelines.
- Assist in drafting, editing, formatting, and production of documents and correspondence; coordinate schedules and communicate changes to staff and officials outside the unit.
- Solve non-routine problems; respond to requests requiring research; assist with organizing meetings, conference calls, video conferences, workshops, and events; build participant databases and draft event reports.
- Coordinate travel requests for consultants; assist with mission agendas and logistics for visiting missions.
- Maintain up-to-date distribution lists, contact details, and distribute documents to relevant task teams; keep unit project and files organized (paper and electronic).
- Handle bookings for business travel; obtain tickets and visas for staff; collaborate with team members to support output and generate reports as needed.
- Back up other colleagues as needed and contribute to team work and outputs.
Selection Criteria
Education / ExperienceMinimum education : Bachelor’s degree
Minimum 2–5 years of relevant experience
