Executive Secretary / CEO Office Manager

To provide high-level administrative and organizational support to the Chief Executive Officer (CEO), ensuring smooth day-to-day operations of the executive office. This includes managing schedules, coordinating meetings, handling communications, and maintaining confidential records to enhance efficiency and productivity.

Key Responsibilities

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
  • Receive and welcome guests and visitors, arranging meetings as needed.
  • Prepare meeting rooms, record minutes, and distribute meeting documentation.
  • Draft and prepare official correspondence, reports, and presentations.
  • Liaise between the CEO and internal departments or external stakeholders.
  • Follow up on tasks and directives issued by the CEO to ensure timely execution.
  • Maintain organized and confidential filing systems.
  • Handle incoming and outgoing mail (electronic and physical).
  • Track ongoing tasks and provide regular status updates to the CEO.
  • Arrange travel, accommodation, and hospitality for the CEO when required.
  • Manage office supplies and operational needs of the CEO’s office.
  • Coordinate with facilities and security teams to ensure a well-functioning workspace.
  • Maintain absolute confidentiality of all sensitive information and documents.
  • Demonstrate a high level of professionalism and discretion at all times.
  • Represent the CEO’s office with integrity in both internal and external interactions.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration or related field.
  • Minimum of 3 years of experience in a similar executive support role, preferably in a corporate or executive environment.
  • Excellent verbal and written communication skills in both English and Arabic.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time-management skills.
  • Discretion, professionalism, and the ability to work under pressure.
