Position : Administrator Lead
Reports to : Head of Academies
Overview
The Administrator Lead is a full-time leadership role responsible for overseeing academy administration across sites, ensuring smooth operations, strong employee support, and consistent service to parents and players. Unlike part-time roles, this position requires full focus on building an effective administrative structure, maintaining employee databases, and acting as a decision-maker and filter between staff, parents, and central management.
The Administrator Lead must demonstrate strong leadership, ownership, and problem-solving skills while ensuring smooth and efficient operations.
Key Responsibilities :
Parent & Player Relations
- Handle escalated parent complaints, particularly around sensitive issues such as player trial rejections.
- Ensure branch administrators redirect unresolved issues to the Administrator Lead.
- Conduct periodic satisfaction checks through scheduled surveys and / or calls to parents, gathering feedback on academy performance.
Employee Relations & Leadership
Act as a leader and point of reference for all administrative staff across sites.Build strong relationships with employees, creating a culture of trust andaccountability.Serve as the main channel for employees to raise work-related issues, reducingdirect escalations to upper management.Maintain and update the employee database to ensure records are accurateand up to date.Operational & Administrative Oversight
Lead the implementation of administrative policies and ensure consistency across sites.Filter issues, propose solutions, and make decisions rather than passing matters up without assessment.Support central coordination with HR on recruitment, onboarding, and compliance.Travel & Logistics
Manage all travel arrangements (flights, hotels, transport) for staff and academydelegations when required.Anticipate and prepare for future travel needs in line with academy programsand events.Financial and Reporting
Oversee and support branch administrators in managing budgets, petty cash, and fee collection in coordination with junior administrator.Ensure financial compliance and alignment with academy standards.Consolidate and submit regular administrative and operational reports to the Head of Academies.Requirements
Education and Experience :
Diploma in Business Administration, Sports Management, or related field (required).Bachelor’s degree in the same fields (preferred).Minimum 3–5 years in administration, with at least 2 years in a leadership or supervisory role, ideally in sports or education.Skills :
Leadership & Ownership : Strong decision-making, taking workload off upper management.Communication & Professionalism : Excellent English (Arabic a plus), representing the academy with professionalism.Complaint Handling : Skilled in managing sensitive issues with tact.Organization & Problem-Solving : Organized, detail-oriented, and proactive.Benefits
