Plant Administrative Assistant – Water Industry

Responsibilities
- Maintain and implement office plant procedures in accordance with organizational policy.
- Carry out a variety of administrative tasks to support executive functions and enhance operational efficiency.
- Draft and manage correspondence, including confidential documents, ensuring clarity and professionalism.
- Serve as the Document Controller, ensuring proper management and accessibility of all relevant documents.
- Act as the primary point of coordination for instructions from the Main Office to the Site, ensuring effective communication and execution.
- Monitor and process employee leave requests, including sick leave and returns, maintaining accurate records.
- Draft and circulate memoranda, ensuring compliance from all concerned individuals.
- Organize plant events aimed at team building and fostering a positive workplace rapport.
- Secure and manage the inventory of office supplies and administrative materials.
- Review and validate invoices before obtaining necessary confirmations and signatures from responsible parties.
- Provide comprehensive administrative support to various plant departments as needed.
- Report incidents that may pose a risk to the organization, including occupational injuries, security breaches, environmental incidents, and severe non-conformances, to prevent future occurrences.
- Facilitate business trip arrangements for employees, ensuring compliance with company policies.
- Conduct searches for news and releases to keep the team informed about new market trends and tendencies.
- Prepare PowerPoint presentations, basic Excel sheets, and Word documents accurately and efficiently.
- Prepare and translate communications (e.g., emails, letters) between Arabic and English, ensuring accuracy and clarity.
- Coordinate with company employees to prepare communication products such as correspondence, executive summaries, and meeting minutes.
- Assist with human resources activities, including profile searches, recruitment, training, medical insurance, and visa processing.
- Maintain accurate and up-to-date records for both manpower and regular employees of the company.
- Upload relevant company information to professional networks, such as LinkedIn, to enhance visibility and engagement.
- Provide any other administrative services as required to support organizational objectives.
Requirements
Saudi Nationality.Bachelor's degree in Business Administration, or related field required.Minimum of 3-5 years experience in a similar position.Proficient with Microsoft Office Suite or related software.Fluent in English & Arabic.Excellent communication and reporting skills.Professional, responsible, and proactive attitude.Excellent organizational skills and attention to detail.Ability to handle sensitive and confidential information with discretion.Strong analytical and problem-solving skills.Plus
