We are looking for a Procurement Senior Manager with strong operational experience in event procurement, particularly in temporary builds, fit-outs, and live event infrastructure. This role is hands-on and execution-focused- ideal for someone with a background in managing vendor sourcing, RFQs, purchase orders, and on-site deliveries for fast-paced and large-scale event projects.
Key Responsibilities
- Manage day-to-day procurement activities for event-related materials, manpower, services, and subcontractors.
- Conduct market research and competitor analysis to identify new opportunities and assess client needs, aligning with business goals and market trends.
- Lead the bid management process, reviewing invitations, performing bid / no-bid analysis, and establishing timelines for timely, high-quality proposals.
- Manage the full RFP lifecycle, ensuring global standards and compliance.
- Source and coordinate with suppliers for temporary structures, staging, rigging, lighting, signage, logistics, and events production needs.
- Issue RFXs, compare quotes, and negotiate pricing and delivery terms.
- Coordinate closely with production, operations, and site teams to ensure timely material delivery.
- Monitor vendor performance and quality of goods / services delivered.
- Ensure all procurement documentation is completed accurately and in compliance with internal processes.
- Support procurement scheduling in alignment with event timelines and build-up periods.
- Handle urgent procurement requirements and last-minute operational changes effectively.
- Track and report on procurement costs and help control budget overruns.
- Minimum 7 years of procurement experience in the events industry, Hospitality, Temporary infrastructure, or construction.
- Bachelor’s degree in business administration, Supply Chain Management, Event Management, or related field.
- Strong understanding of materials and services specific to event builds (e.g., tents, stages, branding, AV, logistics).
- Solid vendor network within the event or construction sectors in Saudi Arabia or the GCC area.
- Excellent organizational and communication skills to coordinate with multiple teams and suppliers.
- Experience managing procurement under tight deadlines.
- Proficient in Microsoft 365 and procurement systems & tracking tools.
- Proficient in SAP Ariba, SAP 4HANA.
- Fluency in English and Arabic.
